Terms and Conditions

Booking & Reservations Procedures: Contact LANVACATIONS at 800 435 3593 or book online. A credit card number, billing address and passport information are required to request a reservation. When making a booking, please submit passenger names as they appear on their passport. It is the passenger’s responsibility to ensure accuracy of all names listed on the booking and to contact LANVACATIONS to correct. Due to increased security measures, any name change, including minor spelling corrections, may require reservations to be cancelled and rebooked. Passenger is responsible for any additional fees incurred due to cancellation and subsequent rebooking.

Air Inclusive Packages: Air Inclusive packages are any packages that include airline flights. Full Payment must be faxed on our Payment Form within 24 hours of making the booking or the booking will auto cancel. If passenger cancels before confirmation, a $25 per person fee plus any additional cancellation fees by the supplier will be applied to the credit card given at time of request. Insurance must be purchased at the time of Full Payment and cannot be added at a later date. Once confirmed, Air Inclusive Packages are non-refundable and non-changeable.

Land Only Packages: Your credit card will be charged a deposit of $200 per person. If insurance is to cover pre-existing conditions, it must be purchased at time of deposit and will only be included if passenger advises LANVACATIONS. Full payment is then due 45 days prior to departure unless otherwise stated. For bookings made 45 days or less prior to departure from the U.S., we must have full payment on our signed Payment Form or certified bank draft in our office within 24 hours or the booking will auto cancel. Any cancellations/changes made after initial request for Land Only Packages are subject to fees as outlined below:

Change and Cancellation Fees - Land Only Packages:
  Before Final Payment:   $25 per person
  After Final Payment:   $50 per booking + supplier fees

Galapagos and Amazon Cruise Packages: Cruises require a non-refundable deposit of $200 per person plus insurance. If insurance is to cover pre-existing conditions, it must be purchased at time of deposit and will only be included if passenger advises LANVACATIONS. Full payment is required 90 days prior to departure on our signed Payment Form or certified bank draft in our office or the booking will auto cancel with penalties. Within 44 days of departure, Cruise Packages are non-refundable and non-changeable. Please note supplier fees include airlines, transfers and more (see Fees below).

Change and Cancellation Fees – Galapagos and Amazon Cruise Packages:
  91 or more days prior to departure:   $200 pp + supplier fees
  90 to 60 days prior to departure:   $300 pp + supplier fees
  59 to 45 days prior to departure:   50% of package cost + supplier fees
  44 or fewer days prior to departure:   Non-refundable

Non-refundable Items: The following are purchased by LANVACATIONS upon receipt of full payment and are non-refundable - airline tickets, car rentals, transfers, confirmed sightseeing, cruises, some hotels and travel insurance. There may be other specialty items, please inquire at time of booking.

Package Price/Surcharges: Operator reserves the right to re-invoice participant(s) in case of error made in computing our tour prices. All prices quoted are based on airfares and land rates (including hotel prices) that are in effect at the time of request and are subject to change without notice.

Fees: The Standard Handling fee is $12 and applies to bookings departing from the US 8 days or more from the day the booking is paid in full. The Expedited Handling fee is $32 and applies to bookings departing from the U.S. within 7 days from the day the booking is paid in full.

Early Check-Out from Hotel: No refunds will be applied to early check-out of the hotel. Any hotel changes while in Central or South America must be handled through our local vendor whose contact information is provided on your tour documents. Any service issues affecting the quality of a guest’s hotel stay must be addressed directly with hotel management.

Refunds: Notice for refund requests must be forwarded to LANVACATIONS by registered mail no later than 30 days from completion of the trip. All unused documents should be returned with the request. After this time no refunds, however valid, will be considered. Reservations cancelled directly with a hotel or another supplier do not qualify for a refund. Please note that there are no refunds for packages designated as non-refundable.

Hotels: Space is subject to availability. Rooms are assigned on a run-of-the-house basis by hotel management upon check in. Single rooms are usually smaller in size than twins or doubles and have one small bed. Triples are usually a standard twin/double plus a rollaway or sofa bed. While a hotel normally may offer a particular feature such as air conditioning, LANVACATIONS cannot guarantee that the service will be in operation at any given time and cannot be held responsible for any such lack of operation at the time of stay.

Hotel Classifications: Hotel classifications are based on LANVACATIONS’ assessment and may not reflect opinions of other sources.

Not Included: Any items of a personal nature including but not limited to: phone calls, tips, laundry, beverages, meals not stated, taxi and bus fares, passport and visa fees.

Prices: LANVACATIONS reserves the right to adjust prices according to exchange rate fluctuations or any increase in vendor rates. Once full payment is received, LANVACATIONS will only pass on increases in government taxes.

Baggage: LANVACATIONS is not responsible for any charges incurred due to excess luggage or weight. It is the passenger’s responsibility to know and meet appropriate levels and to pay for any luggage that is beyond those levels. This includes fees imposed by airlines, transfer companies and any other applicable suppliers. For travel from the U.S. to Latin America:
1) Adults: Two pieces maximum of 70 lbs. each (32 kgs.), and 62 linear inches (158 cms.), except for Tourist Class bags, which cannot exceed 62 inches individually and 117 inches for two bags on Lan.
2) Infants/Children: No bags for infants traveling free of charge. Infants paying 10% of the applicable adult fare: one bag, not exceeding 45 inches and one checked collapsible child stroller, both pieces not exceeding 50 lbs. (23 kgs.) Children paying 50% or more of the applicable adult fare: The full adult free baggage allowance for that class of service.
Within South America:
Maximum per passenger: First Class: 88 lbs. (40 kgs.); Business Class: 66 lbs. (30 kgs.); Tourist Class: 44 lbs. (20 kgs.) Carry on luggage: one piece, maximum 10 lbs (4.5 kgs.) and 45 linear inches.

Passengers with Special Needs: Passengers that require any form of assistance or special accommodation are required to notify LANVACATIONS in writing at time of requesting travel. LANVACATIONS will not be responsible for any additional charges incurred by passenger by our suppliers.

Passports/Visas: It is the sole responsibility of each passenger to obtain the necessary documents, such as passports and visas, for travel. Visa requirements do change without notice and vary by nationality. Please check with the consulate office of the destination country as to visa requirements.

Responsibility: LANVACATIONS is operated by Europe Express, Inc. (hereafter known as the Operator). The Operator and its affiliates are not responsible for any acts and/or omissions of suppliers, their employees, agents or representatives. The Operator, its agents, officers and/or suppliers of services pursuant to, or in connection with these itineraries, is acting only as agent for the companies, corporations or person providing or offering travel services of any means, or in making arrangements for hotels, transportation, restaurants, or any other service, and does not assume any liability whatsoever for any injury, damage, death, loss, accident or delay to person or property due to an act of negligence or default of, any hotel, carrier, restaurant, company or person rendering any of the services included in the tour, or by act of God. Further, no responsibilities are accepted for any damage or delay due to sickness, pilferage, labor disputes, machinery breakdown, quarantine, government restraints, weather or other causes beyond Operator's control. No responsibility is accepted for any additional expense, omissions, delays, re-routing or acts of any government or authority. The airlines concerned are not responsible for any act, omission, or event, at any time passengers are not on board their planes or conveyance. The passage contract in use by the airlines concerned, when issued, shall constitute the sole contract between the airlines and purchaser of these tours and/or passenger. The right is reserved to withdraw any program in this folder and/or make such changes in the program(s) as may be found desirable for the convenience of the parties and the proper carrying out of tour(s). The sole and exclusive forum for any legal claims you may make against LANVACATIONS as operated by the Operator shall be the United States District Court for the Western District of Washington in Seattle, Washington.
